II. Position Description
Apolat Legal is looking for an Hr Administrative Assistant position to join our dynamic and enthusiastic team at our head office in Ho Chi Minh City. This is an excellent opportunity for candidates who are detail-oriented, organized and possess outstanding communication skills. The ideal candidate will have at least 1 year of experience in a similar role and be able to start as soon as possible.
1. Responsibilities Include
Administrative (Admin)
- Manage and maintain company documents: Incoming and outgoing correspondence, service agreements, labor contracts, licenses, legal documents, etc;
- Carry out administrative procedures: Labor registration, reports to the Ho Chi Minh City Department of Justice, the Ho Chi Minh City Bar Association, drafting official letters, contracts;
- Contact suppliers to request service quotations when necessary;
- Other office administrative duties: Managing seals, stamping documents, etc;
- Other related tasks: Purchasing stationery and equipment, purchasing food supplies, ordering water, contacting couriers to receive mail, refilling ink cartridges, repairing printers, etc.
Human Resources (HR)
- Manage labor contracts, personnel records, and update employee data;
- Assisting with the recruitment process, including posting job recruitment, scheduling interviews, and conducting reference checks (if any);
- Handle payroll processes and coordinate with accountant for monthly salary payments;
- Manage and process social insurance, health insurance, unemployment insurance in compliance with labor laws;
- Monitor and update data related to employee benefits, allowances, and welfare programs;
- Assist in organizing internal events, employee engagement activities, and training programs;
- Advise employees on company policies, labor regulations, and HR procedures;
- Ensure compliance with labor laws and regulations, etc.
2. Qualifications, Skills, Expertise Required and Other Requirements
- Gender: Female;
- Pleasant appearance;
- Bachelor’s degree in Human Resources, Business Administration, Law or a related field;
- Excellent communication, organizational and problem-solving skills;
- Knowledge of relevant laws and regulations regarding HR;
- The ability to listen, speak, read and write in both English and Vietnamese fluently, with a minimum IELTS score of 5.5 overall or Toeic: minimum 600;
- Ability to manage and follow up on multi-tasks simultaneously while maintaining precise attention to detail;
- Ability to take the initiative, be self-motivated, and pay close attention to detail;
- Flexibility to work extended hours when required.;
- Strong adaptability and flexibility in the workplace.
3. Working Time
- Full-time;
- Working hours: 8.15 am-5.15 pm, from Monday to Friday.
- Work-from-home model is applicable according to company policy.
